What it is

The rules, guardrails, and timeline for rolling out AI across the organisation responsibly — from day one.

Why it matters

Without governance, AI adoption stalls or creates risk. These three non-negotiable rules and a clear 30-day plan ensure the team moves fast and stays safe.

3 Non-Negotiable Rules

Rule 1

Never paste client-confidential data (contracts, personal data, financials of clients) into anything outside the ChatGPT Business/Team workspace — Business/Team accounts don't train on your data by default, but always sanitize identifying details when in doubt.

Rule 2

No fully autonomous client-facing sends — every AI-drafted email/proposal/ticket response to a client gets a human review before it goes out, at least for the first 90 days.

Rule 3

One shared home for prompts and GPTs — every useful prompt goes on the Prompt Wall; every useful Custom GPT gets published to the Team workspace, not kept personal — otherwise you rebuild the same wheel 4 times.

30-Day Rollout Plan

Week 1
Each of the 4 finishes and publishes their Module 3 Custom GPT to the whole team workspace.
Week 2
Each runs a "show and tell" with their own direct team, demoing their GPT.
Week 3
Facilitator/CEO reviews Automation Blueprints and picks 1–2 to actually build via Zoho Flow/Codex.
Week 4
Quick retro — what's saving time, what's not, what's next (candidates: extending to the wider team, adding more Zoho-connected automations).
