MODULE 03

Build a Custom GPT That Thinks Like Your Advisor

What it is

A Custom GPT is a saved, reusable, purpose-built version of ChatGPT — with its own instructions, knowledge files, and (optionally) connected actions/tools — that anyone on the team can open and use without re-explaining anything.

Think of it as "hiring" a specialized digital teammate once, instead of re-training ChatGPT every conversation.

Why it matters

Custom GPT vs. Project — the key distinction

  • A Project is a folder for an ongoing piece of work (a deal, a client, a reporting cycle) — for YOU
  • A Custom GPT is a reusable tool/role you build once and can SHARE with the whole team, used across many different pieces of work

Workshop

Tip: Executive morning brief via Custom GPT

You can use a Custom GPT to create an executive brief every morning based on your email and calendar. When building your GPT, look for Outlook and Outlook Calendar in the list of available plugins — connect them, and your GPT can summarise overnight emails, flag urgent items, and preview your day's meetings automatically.

Live Demo — "Nexus Proposal Writer GPT"

The facilitator builds a Custom GPT live:

  • Name: "Nexus SAP B1 Proposal Writer"
  • Instructions: "You are Nexus's SAP B1 pre-sales assistant. Always write proposals in a confident, ROI-driven tone, structured as: Executive Summary, Client Pain Points, Proposed SAP B1 Solution, Implementation Timeline, Investment Summary, Why Nexus. Always ask for the client's industry and company size before drafting."
  • Knowledge: uploads sanitized past proposals plus Nexus's SAP B1 service one-pager
  • Test: run it live with a sample client scenario

Build your own Custom GPT

Role Suggested Custom GPT
CEO"Board Brief Generator" — turns raw updates into a 1-page board-ready summary
Head of Sales"SAP B1 Deal Summarizer & Proposal Drafter" — takes messy CRM notes and produces a clean deal summary + first-draft proposal section
Manager (Delivery/PM)"Project Status Report Builder" — takes raw task updates and produces a client-ready weekly status email
Manager (Ops/Finance)"Expense Report Analyzer" — takes an export and flags anomalies/overspend, drafts a summary for the CEO

Then publish your GPT to the team workspace so others can test it. Each person tests at least one teammate's GPT and gives 1 piece of feedback.
